Hello all-
I had a good meeting with the web designer and also reviewed the 2010 budget with Carolyn to help negotiate the cost.  Scott is willing and able to do the work for us for the same amount that we have budgeted for this year-  $1200.  For this he will work within the existing design to add the components we want- and take care of the maintenance as needed.  To redesign the website would cost more, so I suggest we work with the design we have for now and then we can go for a "makeover" if we get some sponsorship money.  So- to fill you in on the specifics- here is what we will do:
Members only access to TOST:  this will be done as Lynda had suggested ( a backdoor approach).  Members will receive email notice that the TOST is online and ready to read.  Then they will have a link and password to use for access.  Much more complicated if we try for individual passwords.  ·     
Change of address form (snail mail & email)- this can be done through a contact us form.·     
Shared resources- this would be done via the blog, but access would be limited by email to membersMaMain Website·     
List of Board Regional Directors with photo,
email address (linked), brief bio and expertise-  yes·     
Blog  - yes·     
Conference: ·     
Credit Card registration (Pay Pal), schedule,
detailed info, presenter proposal form (instant copies sent to certain people)- yes to all of this.  We will change to a Pay Pal account.  the benefit is that we do not have to pay for the security for accepting CC (could be at least $1000 or more through the bank).  Pay Pal handles all of that and there is not setup fee. no monthly fee.  If we are indeed a nonprofit 501 (3) (c), we pay 2.2% on the total amount of transaction plus $ .30 per transaction.  This is quite low compared to our current fees ( we pay about $800 per year for the current system).  People do not need a Pay Pal account to use this form of payment and we can also have a donation button as an added feature.  ·     ·

Facebook, Twitter links - yes For now, I am willing to be the liaison between the board and Scott.  That means everyone sends me material to be posted (except the TOST of course).  I will work with Scott to set up and then I will manage the blog.  That way we can make more frequent changes without paying a fee.  Carolyn and I will work to coordinate the application for a Pay Pal account and suspension of the existing bank credit card system.  We won't stop one until the other is set up and ready to go.  Carolyn is going to look for an IRS letter to verify the 501 (3) (c) status.  Bernie- do you have anything in your files?   Please keep in mind that it is critical that only one person works directly with the web guy.  Frequent request from a variety of people will not work.  Eventually it may be that we decide that the TOST editor is also the web liaison. we'll see how it goes for this year. So- I need the approval of the board to proceed- and will set up a timeline, priorities and payment plan with Scott once we make that decision.
